CRM — Contacts, Companies & Deals

The CRM is the core of Prerak. Everything else (sequences, campaigns, inbox) connects back to it.


Contacts

What Is a Contact?

A contact is a person you interact with — a lead, prospect, customer, or partner. Each contact has:

  • Email address (required)
  • Name, phone, title (optional)
  • Stage (e.g., Lead, Qualified, Customer)
  • Assigned owner
  • Custom fields your team defines
  • Activity timeline (emails, calls, meetings, notes)

Creating a Contact

From the UI:

  1. Go to CRM → Contacts
  2. Click + New Contact
  3. Enter at least an email address
  4. Fill in optional fields
  5. Click Save

From AI (ChatGPT/Claude):

"Add Sarah Chen from Acme Corp, email sarah@acme.com, title VP Sales"

By CSV import: See Getting Started → Import Contacts.

Finding Contacts

Search: use the search bar at the top of the Contacts list. Searches across name, email, company, and notes.

Filters: click Filter to narrow by:

  • Stage
  • Assigned owner
  • Date created
  • Custom fields
  • Company

Saved views: save a filter set as a view (e.g., "My Leads This Month") for quick access.

Editing a Contact

  1. Click a contact to open their profile
  2. Click any field to edit it inline
  3. Changes auto-save

Bulk Actions

Select multiple contacts using checkboxes, then choose from the bulk action menu:

  • Update a field (stage, assigned owner, custom fields)
  • Add to a sequence
  • Add to a list
  • Export to CSV
  • Delete (soft delete — recoverable for 30 days)

Bulk operations are limited to 1,000 contacts at a time.

Contact Activity Timeline

Every contact has a timeline showing:

  • Emails sent and received
  • Calls logged
  • Meetings held
  • Notes added
  • Stage changes
  • Sequence enrollments

The timeline is read-only — it's automatically populated as you interact with the contact.


Companies

What Is a Company?

A company record groups related contacts. Deals and activities can be linked to a company as well as to individual contacts.

Creating a Company

  1. Go to CRM → Companies
  2. Click + New Company
  3. Enter the company name (required)
  4. Add domain, industry, size, and custom fields

Linking Contacts to a Company

  1. Open the contact's profile
  2. In the Company field, type the company name
  3. Select from the dropdown (or create a new company)

Deals

What Is a Deal?

A deal tracks a sales opportunity through your pipeline. Deals have:

  • Name (e.g., "Acme Corp — Enterprise Plan")
  • Stage (e.g., Lead → Qualified → Proposal → Won/Lost)
  • Value
  • Close date
  • Assigned owner
  • Linked contacts and company

Creating a Deal

  1. Go to CRM → Deals
  2. Click + New Deal
  3. Fill in name and stage (required)
  4. Add value, close date, and linked contact/company
  5. Click Save

Moving a Deal Through Stages

Kanban view: drag and drop the deal card to a new stage column.

List view: click the deal → click the Stage field → select a new stage.

A timeline entry is automatically logged each time a deal changes stage.

Pipeline View

The default view shows deals as cards grouped by stage. You can:

  • Filter by owner, close date, or value range
  • Sort columns by deal count or total value
  • Switch to list view for bulk management

Won / Lost

To close a deal:

  1. Drag it to the Won or Lost column, OR
  2. Open the deal → click Mark as Won / Mark as Lost
  3. (For Lost) Enter a reason — this feeds into your loss reason reports

Custom Fields

Workspace admins can add custom fields to contacts, companies, and deals.

  1. Go to Settings → Custom Fields
  2. Choose the object (Contact, Company, or Deal)
  3. Click + Add Field
  4. Choose a type: Text, Number, Date, Dropdown, Checkbox
  5. Name the field and click Save

Custom fields appear on record profiles and are available in filters and reports.


Tips

  • Duplicate contacts: Prerak warns you if an email already exists. Use the merge tool (contact profile → Actions → Merge) to combine duplicates.
  • Deleted contacts: soft-deleted for 30 days. Recover from Settings → Trash.
  • Export: any filtered view can be exported to CSV via Actions → Export.
